Privacy policy.

What we collect, why we collect it, how long we keep it and what you can ask us to do with it. In plain English.

Who we are.

LogRun is made by With Gumption ("we", "us"), a small business based in Bingley, West Yorkshire. We decide how the personal information described here is used, which makes us its "controller" under UK data protection law (the UK GDPR and the Data Protection Act 2018).

For anything to do with your data, email hello@logrun.co.uk.

What we collect.

  • When you use the contact form: your name, email address and message, plus your yard's name, its size and your phone number if you choose to give them.
  • When you use the call-back card: your name, phone number and, if you give it, a word about your yard. We use these only to ring you back.
  • When you email or call us: whatever you include, and your contact details.
  • If we work together: the contact and billing details we need to set up LogRun for your yard and invoice you, and the information you share with us during the work.
  • When you visit this website: our hosting company keeps standard server logs (such as your IP address, browser type and the pages requested) to keep the site running and secure. We don't use these to identify you.

The demo on the "how it works" page runs entirely in your browser. What you type into it, including the name and postcode, isn't sent to us or stored anywhere.

Cookies and analytics.

We may use Google Analytics to understand how people use this website: which pages are visited, roughly where visitors are in the world, what device they use, and whether they get in touch. We only do so if you choose "Accept" on our cookie message. It sets cookies on your device to do this. We don't use it to identify you, and we don't share it for advertising.

If you choose "No thanks", or don't choose at all, analytics cookies aren't set. We keep your choice in your browser's local storage so we don't ask on every page, and you can change it at any time with "Cookie settings" at the bottom of every page.

Why we use it.

  • To reply to your enquiry. This is in our legitimate interests, and it's a step you've asked us to take before we might agree to work together.
  • To set up and run LogRun for your yard, and to invoice you. This is necessary for our contract with you.
  • To keep financial records, because the law requires it.

We won't add you to a mailing list or send you marketing emails unless you've asked us to. We never sell or rent your details to anyone.

Your customers' information.

When a yard uses LogRun, the yard's own customers' names, addresses and orders are stored in the system. For that information, the yard is the controller and we act only on its instructions as its "processor". We'll set out how that works in writing before any real customer data goes in.

Who else sees it.

We only share personal information with companies that help us run the business, and only what they need:

  • 20i, a UK hosting company, which hosts this website and delivers form messages to our inbox.
  • Our email provider, which stores the messages we send and receive.
  • Google, for website analytics, but only if you accept analytics cookies (see above).
  • Our accountant and HMRC, for invoices and tax records if we work together.

We may also share information if the law requires us to.

How long we keep it.

  • Enquiries that don't lead to work: deleted within 12 months.
  • Client records: for as long as we're working together, then up to two years in case you come back to us.
  • Invoices and financial records: six years after the end of the tax year they relate to, as HMRC requires.

Keeping it safe.

This website uses an encrypted (HTTPS) connection, and the contact form sends your message straight to our inbox without storing it on the website. Our accounts are protected with strong passwords and two-step sign-in where available.

Your rights.

You can ask us to:

  • tell you what personal information we hold about you and send you a copy
  • correct anything that's wrong
  • delete your information, where we don't need to keep it by law
  • stop or limit how we use it, or object to us using it
  • send your information to you or another organisation in a usable format

Just email hello@logrun.co.uk. It's free, and we'll reply within one month.

Complaints.

If you're unhappy with how we've handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk/make-a-complaint or on 0303 123 1113.

Changes to this policy.

If we change how we use personal information, we'll update this page. The date below shows when it last changed.
